Using the App
The app you downloaded to your smart phone is a very important part of our relationship with our clients. One of our biggest selling points is email status reports of every service attempt or successful serve. It is important that it be used each time and the information be clear.
If you are in a bad cell area, just go ahead and document on the app and when you get a cell signal you can sync it.
Before you go to the door, open the job on your app. Then, click the camera button (as shown on the training video) to discreetly take a photo while serving. Turn your sound off so they do not hear the click. Turn your flash off so they do not know a photo was taken. Once you take the photo, save it in the app and then move on to the documentation.
NEVER click set service. ALWAYS click add attempt. if this was only an attempt and not successful service, you'll see something like this:
Attempted service at 123 Anywhere Street, Anytown, MO 64105,
First, click the button that says Get Locations. This will document your GPS coordinates. This is so if the client ever questions us, we can show you were there and not sitting on your couch documenting it. It just protects everybody.
Next, if the attempt is unsuccessful, document your observations. There is a button that says "Append Standard Text". Here there are some preconfigured things that, if they apply, you can click and use. Otherwise, you can type your own observations. Sometimes you can knock on a neighbor's door and ask them if they know if they still live there. If you do, document it. Remember, this information is what the client will see after you sync the app.
Now, if you did get successful service, we have to get rid of the word "Attempted". Please replace it with the type of service. If everybody does this uniformly, our clients will come to expect it and be used to it.
So if you got personal service on someone, you change this to:
Personal service at 123 Anywhere Street, Anytown, MO 64105,
That's all you need to do. Don't make it complicated.
If you get sub service at a residence, here is an example:
Sub service at 123 Anywhere Street, Anytown, MO 64105, Jane Doe co-resident.
Keep it simple.
If you serve at a business, it would look something like this:
Corp service at 123 Anywhere Street, Anytown, MO 64105, Jane Doe, HR manager.
So, if you serve at a business, get their job title. Whether home or business, ALWAYS get their full name.
Now, you click SAVE on the app. If you did serve, on the next page, document the physical description in every blank provided. If one field is empty, the app won't let me create an affidavit. Now, click SAVE on this page.
Now, sync the job. If you don't click "sync", the job will not be pushed to the client email.
Remember, if it is not documented, it did not happen.
